Terms and Conditions for ConferenceMinds Events

• Public Announcement of Business Relationship:
  By engaging with ConferenceMinds, you consent to our right to publicly announce our business relationship with you, including but not limited to social media announcements. Such announcements will not be disparaging or detrimental to your business.
• Prohibition of Unauthorized Recording and Use of Materials:
  Unauthorized use of photographic, video, and recording equipment at ConferenceMinds events is strictly prohibited. Attendees are not permitted to make or facilitate any video or audio recordings of events, or use photographs, clips, or screenshots for commercial purposes without explicit permission from ConferenceMinds. Materials distributed by or on behalf of ConferenceMinds in connection with any event may not be reproduced without written consent.
• Code of Conduct and Professionalism:
  ConferenceMinds is committed to fostering a professional and respectful environment at all events. All attendees, including delegates, guests, speakers, exhibitors, and staff, are expected to demonstrate respect and courtesy towards one another and those involved in organizing the events. Compliance with the ConferenceMinds Harassment Policy is mandatory for all participants throughout the event. ConferenceMinds has the Right to Reserve / Refuse an Admission to any participant, Groups, Institutions, Organizations, members or to anyone to participate in the conference without assigning any reason thereof.
• Mandatory Hybrid Participation Requirements:
  All ConferenceMinds events require mandatory hybrid participation, offering both physical and virtual attendance options. Attendees must join the conference in one of these formats. If a participant is unable to attend either in-person or virtually, they will receive Conference E-certificates or Electronic Publications of Abstracts in the ConferenceMinds Journal as part of their full conference payment. Participants are advised to monitor their email and check the event website regularly for updates on rescheduled conferences. By paying the registration fee for the conference in any category, you agree to participate in the conference in hybrid mode only.
• Accommodation and Availability:
  Participants are responsible for arranging their own accommodation. Accommodations booked through ConferenceMinds are subject to availability. If accommodations become unavailable, fees are non-refundable; however, they can be transferred to the next conference organized by ConferenceMinds.
• Health and Safety Compliance:
  In adherence to health and safety guidelines, attendees must refrain from attending any ConferenceMinds event if they exhibit symptoms of a communicable disease. If symptoms develop during the event, attendees are required to notify ConferenceMinds staff immediately via email (contact@conferenceminds.com) and agree not to attend further sessions or related events, while also complying with local and national health restrictions.
• Non-Refundable Registration Fees:
  All registration fees paid through our website or external payment platforms such as PayPal or Stripe or via direct bank transfer are fully non-refundable and non-returnable. In cases where ConferenceMinds reschedules or Cancel an event, the registration fees remain non-refundable, but the participant may attend the rescheduled event within a 24-month period in the form of online participation only. Those Alternative arrangements will be communicated via the event website or official email : (contact@conferenceminds.com).
• Right to Cancel or Postpone Events:
  ConferenceMinds reserves the right to cancel or postpone any event at its discretion, with or without notice, and without providing a reason. This may include changing the event venue or any other published details or withdrawing invitations to attend. In such instances, ConferenceMinds will not be liable for any losses, liabilities, damages, or expenses incurred, nor will any payments made in connection with the event be refunded.
• Force Majeure and Refund Policy:
  No refunds will be provided for conferences postponed due to Force Majeure events. Similarly, no refunds will be issued for payments made for E-Poster and Online Presentation services, or for registrations made under discount schemes. These policies are strictly enforced to maintain fairness and consistency in our financial practices across all conference-related transactions.
• VISA Guidelines : ConferenceMinds does not manage or facilitate visa processes for any attendees. Each attendee must independently handle their own visa application and is fully responsible for meeting visa requirements. We advise applying for a business visa only. Visa rejections are not our responsibility, and registration fees are non-refundable under any circumstances.
• Limitation of Liability:
  In the event that circumstances beyond our reasonable control necessitate the cancellation or rescheduling of part or all of a ConferenceMinds event, ConferenceMinds shall not be liable to provide refunds or any other compensation.
• Disclaimer of Liability: The conference organizers, sponsors, and associated parties shall not be held responsible for any loss, injury, or damage to persons or property, whether direct or indirect, arising from participation in the event. By attending the conference, all participants acknowledge and agree that they are attending at their own risk and that the conference organizers will not be liable for any claims, losses, or damages incurred during the event.
• Completion of the Conference and No Further Liabilities: Once the conference has been completed, ConferenceMinds will not be held liable for any claims, disputes, or further responsibilities related to the event, the certificate, or the participation of any recipient.

• Data Storage and Privacy:
  The Journal of ConferenceMinds is safeguarded by its private data storage system, using its Permanent Scientific Identification Numbers (PSIN) and Digital Object Indications. It is not responsible for, nor obligated to adhere to, any international requirements concerning the storage of its contents. Article Publication fees are fully non-refundable.
• Acceptance of Terms and Conditions:
  These terms and conditions govern the registration process and participation in conferences organized by ConferenceMinds. By proceeding with registration, you indicate your acceptance and agreement to these terms. • Modifications to Terms and Conditions:
  ConferenceMinds reserves the right to update these terms and conditions periodically to reflect changes in laws, regulatory requirements, or improvements to its events and services.
• No commercial trading: By registering as a Participant, you agree to the terms that this registration is exclusively for you or your registered group members. It is not intended for any other individuals. A confidentiality clause applies to all confidential information and materials shared during your participation in the event.
